The Administrative Assistant will provide administrative support to several sales Producers. In addition, this position also serves as reception on a fast-paced multi-line phone system.

 

Responsibilities include:

  • Provide administrative support to several sales Producers.
  • Meet regularly with Producers to receive and provide updates on assignments and projects.
  • Travel coordination — Arrangement and coordination of all phases of travel including: flight, hotel, car service, and other travel related tasks; Outlook calendar updates with travel information; tracking of travel records and itineraries; travel credit tracking.
  • Meeting and event coordination — schedule and arrange internal and external meetings utilizing email and appointments via Microsoft Outlook.
  • Coordinate special events including catering setup, guest coordination, audiovisual needs, and clean-up coordination after events.
  • Expense processing — responsible for all expense report related activities including tasks such as: receipt collection and follow up; preparation and submission of expense reports; and corporate credit card billing reconciliation.
  • Reception — answer and screen incoming calls, field and answer questions, refer callers to appropriate associate, or take messages.
  • Monitors team mailbox for Associate requests or concerns which may include: temperature, lights, restroom supplies, etc.: place service requests using property management web applications; follow-up on requests to ensure completion; communicates with team lead/property management to address any issues as needed.
  • Mail and package handling — responsible for opening, sorting, date-stamping, scanning/processing/delivering incoming mail and packages.
  • Ability to utilize: FedEx, UPS, USPS and various courier web applications, as well as the ability to learn Lockton specific applications.
  • General office — maintain cleanliness, order, and appearance of Lockton common areas including main breakroom, all kitchens, meeting rooms, and production/supply room.
  • Assists design team with projects as needed, including: laminating, freeing jams, changing toners and placing service requests on equipment.
  • Ability to perform copy and binding requests as needed.
  • Process associate requests for records that are off-site, on-site, as well as electronic: coordinate receipt and delivery to appropriate Associate; coordinate final disposition of records assuring secure and appropriate destruction or retention according to Lockton record retention schedule; ability to use vendor web applications and MS Access to maintain record database; pulls and prepares files for scanning. assists team lead with Lockton annual file purge event.
  • Assists Associates in reserving conference rooms and arranging for any needed supplies and equipment.
  • Clean, stock, and service the bar area.

Requirements:

  • Bachelor’s degree in a business-related field or equivalent education and/or experience.
  • Three to five years of previous administrative and/or sales support experience.
  • Above-average proficiency in the use of Microsoft Word, Excel, PowerPoint, and Outlook.
  • Ability to handle fast-paced multi-line phone system.
  • Strong internal and external customer service skills, along with the ability to develop sound relationships.
  • Organizational and time management skills to prioritize workload and meet time sensitive deadlines required.
  • Results-oriented with the ability to change priorities as needed.
  • Above-average verbal, written, and interpersonal skills to interact with associates at all levels of responsibility, representing Lockton in the highest professional manner.
  • Demonstrated ability to not disclose confidential information; along with precise and careful handling of critically sensitive and confidential documents.
  • Proven ability to work independently along with a strong ability to use good judgment in recognizing scope of authority and urgency.
  • Strong attention to detail.
  • Demonstrated ability to follow through, in a timely manner, on tasks to their completion.
  • Physical ability to: lift materials, boxes, and other items up to 50 pounds;
    Ability to stand for a majority of the day.
  • Walk with a quick pace.
  • Ability to kneel on hands and knees to free copy jams.
