Summary:

Lockton Affinity, located in Overland Park, is looking for a Front Office Coordinator to join our team.  This position will answer incoming communication lines, greet and route walk-in guests, along with performing light clerical duties to support the daily business activities of our busy insurance office.  The hours of this position will be from 10am-6:30pm, M-F.

Duties: 

  • Greet visitors and callers in a professional manner while locating the appropriate Associate/program needed and routes calls without delay.
  • Makes positive contribution to customer satisfaction and constantly strives to improve the customer experience while taking personal responsibility to ensure the satisfaction of every caller and visitor.
  • Acts as a role model for all Associates in the areas of positive attitude and professional performance creating an excellent first impression as a representative of Affinity.
  • Takes message or offers voicemail when caller cannot be connected directly to an Associate.  Works to quickly resolve customer concerns in a steady and professional manner.
  • Supports various departments through assigned tasks.
  • Proactively maintains day-to-day information on the schedules of Associates, and where they may be reached, for expedient handling of calls.
  • Ensures repair, construction, and other third-party representatives log their arrival and departure.
  • Performs light clerical work such as sending faxes, typing, folding and stuffing envelopes, attaching labels, or addressing envelopes.
  • Understands when circumstances require gentleness, sympathy, tactful persuasion, conciliation, assertiveness or other approaches and adjusts reaction quickly and appropriately.
  • Maintains conference rooms and waters office plants.
  • Protects the confidentiality of reference information utilized and information learned by performing the duties of the position.


Other responsibilities:

  • Alerts telecommunications coordinator of any warnings displayed on console, or any complaint concerning the telephone system.
  • May work with external courier service or third parties to organize deliveries on behalf of the Company.
  • Act as an engaged Associate by attending department meetings, staff meetings, technical workshops and social functions.

 

 

 

 

 

 

Education/Experience:

  • High school diploma or equivalent education and/or experience.
  • Experience and effectiveness in handling multi-line PBX generation switchboard console in a fast paced professional business environment is strongly preferred.
  • Demonstrated ability and voice control to quickly instill confidence and comfort with callers and visitors.
  • Ability to understand and carry out verbal and written instructions.
  • Ability to speak into and hear voices from telephone equipment.
  • Working knowledge of Microsoft Products, i.e. Outlook Word and Excel. 
  • Organizational and time management skills to meet time sensitive deadlines
  • Strong value of service with demonstrated problem solving skills, and ability to make rapid decisions with moderate information.
  • Firm, fluent grasp of English language with exemplary verbal, listening, written, and interpersonal skills to interact with callers, associates, and visitors at all levels of life.
