Position Description

This position is responsible for maintaining general office amenities and conference/meeting rooms; servicing internal and client/vendor meetings (including catering); supporting larger company-sponsored events. This position also provides support for other office service functions as necessary.

Job Responsibilities

General Office Amenities

  1. Daily inspection of mail rooms, kitchens, and meeting/conference rooms.
  2. Ensure all hospitality items are appropriately stocked in all shared areas (coffee, tea, creamer, sugar, etc. as well as supplies such as utensils, paper towels, cleaning supplies, etc.).
  3. Order all hospitality items as necessary.
  4. Ensure kitchens are clean and organized (including loading and unloading all dishwashers)

Conference/Meeting Rooms

  1. Set up conference rooms for meetings as directed, including evening events.
  2. Stock items as needed and relay conference room concerns to the appropriate party.

Meeting Support & Catering

  1. Adequately plan for all catering requirements as requested for meetings. 
  2. Order food and accept food deliveries as requested for meetings.
  3. Timely prepare rooms to serve meals during meetings.
  4. Effectively communicate any issues to the impacted parties.
  5. Refresh beverages throughout meetings as requested.
  6. Available to support breakfast, lunch and evening meetings.
  7. Maintain caterer contact information.

Event Support

  1. Availability to support larger company-sponsored events as requested by Event team/associates.

Other Responsibilities

  1. Provide back up support to other areas of office services as workload allows.
  2. Work short-notice overtime as needed.

Job Competencies

  1. High school diploma or equivalent education.
  2. Previous office hospitality experience preferred, but not required.
  3. Ability to operate alphanumeric keyboard.
  4. Ability to communicate clearly and effectively.
  5. Ability to multitask effectively.
  6. Ability to set priorities and follow through assignments with minimal supervision.
  7. Physical ability to lift materials, boxes and other items weighing up to 50 lbs.
  8. Physical ability to stand, walk and/or sit for prolonged periods.
