Description: 

Provides broad Office Services assistance, IT and reception services support to associates, with general direction.  
 
  • Manages/coordinates office supplies, supply requests, inventories, and supply invoices. Works directly with the Manager of Office Services. 
  • Sets up new hire workstations as needed. Meets with new hires to discuss all aspects of office services and IT procedures.
  • Manages communications by relating important or pertinent information regarding the building and or office.
  • Is the central point of contact for office information or associate requests relating to Office Services and/or IT.   
  • Reviews invoices, requisitions, office requests, etc. for delegation and/or accuracy, prior to forwarding to appropriate Manager for approval.
  • Manages all incoming and outgoing mail on a daily basis; sorts mail accordingly for department and individual destinations and delivers to specific work area.
  • Collects all material, correspondence, and mail from specified individual and department locations and processes for and to final destination.
  • Is available to handle reception duties as needed for coverage.
    • Answers incoming communication lines, greets and routes walk-in guests
    • Performs light clerical duties to support the daily business activities of the front office.
  • Is responsible for ‘State of the Offices’, including cleanliness, accidents, and organization. Takes necessary steps to ensure that the offices stay clean, organized, and safe, including but not limited to, cleaning of the office kitchens and/or supply areas.
  • Coordinates, manages and/or assists with office functions.  Including, but not limited to, inside and outside meetings, events, fund raisers, parties, etc. Prepares meetings and meeting rooms for guests.
  • Local point of contact of IT related questions and maintenance, including computers, phones, copiers, printers, office equipment, etc.

 

 

 

Qualifications:

 

  • Excellent verbal and written communication skills.
  • Ability to multitask in a fast-paced environment that is deadline-driven.
  • Demonstrated ability to instill confidence and comfort with internal and external clients and associates.
  • Communicates in a positive manner to contribute to a cohesive, pleasant work
  • Above average interpersonal skills to interact with associates and management at all levels of responsibility.
  • Ability to work and manage independently and with little direction.
  • Above average organizational skills in order to perform the duties of the position
  • College degree or two to three years of equivalent work experience.
  • Proficiency with all general office skills, including Word and Excel, and a minimum of 50 wpm.
  • Detail-Oriented
  • Must have strong value of service to others and to the offices.
  • Ability to understand and carry out verbal and written instructions.
  • Ability to drive to multiple locations weekly.  Must provide transportation or use public transportation.
  • Legal right to work in the United States
