Office Services Coordinator/Receptionist

Responsible for reception, hospitality & internal events, supplies, printing/binding, mailing, and shipping, records management, overseeing vendor services, facility oversight and management. Follows and monitors all department procedures, practices. Responsible for providing excellent customer service to all Producers, Associates, visitors, guests, and vendors.

Essential Duties

  • Be a positive representative of Lockton in the office and community.
  • Provides a high level of quality service in all functional areas.
  • Oversees all hospitality supplies and amenities, supply levels and pricing; includes managing Jacks Place, and appliance purchase and repair.
  • Uses Lockton multi-line phone system, including Associate Directory and Client Master to accurately navigate data to properly transfer callers
  • Establish and maintain multiple mail/ship/courier accounts as needed; oversees appropriate spending from Nashville office.
  • Opens, sorts, and scans all incoming mail, processes per department protocols. Manages both incoming and outgoing mailing and shipping- processing mail as needed.
  • Maintains postage account, and maintenance of postage meter, and all supplies.
  • Liaison with property management as needed.
  • Some Higher education phone/office experience preferred
  • Open to experience in the insurance industry, and office setting, or retail
  • Good job tenure is a must
  • Multi line phone/Reception experience preferred; ability to hear and speak clearly
  • Strong knowledge of Microsoft Office suite (Word, Outlook, Excel, and PowerPoint)
  • Ability to work independently
  • Strong communication skills, problem solving & customer service skills
  • Ability to communicate in a positive manner to contribute to a cohesive, pleasant work environment
  • Organization and time management skills to prioritize heavy workloads to meet time-sensitive deadlines
  • Ability to be a team player, share responsibilities, seek guidance and assistance from other team members as needed.
  • Physically able to lift 50 lbs, use a dolly/hand cart, and kneel to maintain office equipment as needed.
  • Ability to communicate professionally with internal clients and external vendors and develop strong working relationships.
