Operations Support Assistant

The Operations Support Assistant manages the day-to-day administrative aspects of the Lockton Companies local office. This person creates the following experiences for our associates: the office is neat and tidy, associates and guest feel welcomed and supported, events are flawlessly executed, the administrative needs of our key sales professionals are met, and mail and supplies are readily available. A positive attitude, a desire to work efficiently, and excellent client-facing communication skills are critical to this role. The Operations Support Assistant will effectively prioritize work, multi-task, and effectively collaborate with the local team as well as the wider Lockton Southeast team.

Key activities include:

 Office Support:

  • Open office daily
  • Greet clients, guests and vendors upon arrival and direct them to appropriate offices and/or temporary office space
  • Maintain office supply inventory
  • Manages local office equipment and contacts vendors when issues arise
  • Maintain neat and tidy conference rooms, break rooms, office supply areas and common spaces
  • Manage conference room scheduling
  • Coordinates Security access and badge cards for local office
  • Acts as local fire and safety warden and coordinates with building on safety items
  • Provide local support to office associates as needed for IT, audio-visual and communications issues
  • Manages the seating chart for the local office
  • Route incoming mail and process outgoing mail including processing checks and carrier commission statements
  • Provide backup support to Southeast reception as needed

Admin Support:

  • Provides administrative assistance and support to assigned Producers including expense management processing, calendar management and travel arrangements.   
  • Coordinate materials/presentations with Creative Services team including printing support according to timeline.

People and Culture Support

  • Coordination of monthly birthday and anniversary celebrations, anniversary gift coordination.
  • Coordinates local special events i.e. yearly Associate massage day, BPTW events, town halls and various other events held throughout the year.
  • Supports new hire onboarding including local schedule, seating arrangements, and equipment support

Knowledge and experience:

  • Bachelor's degree preferred
  • 2+ years of experience in an administrative capacity
  • Events coordination
  • Technically proficient with mobile, telecom, computers
  • Proficiency in Microsoft applications including Work, Excel, Powerpoint, and Outlook
