Office Services Assistant
- Keep Operations Running Smoothly: Maintain and update filing systems, manage inventory, and handle scanning and mailing tasks to ensure seamless office operations.
- Create a Welcoming Environment: Clean and restock break rooms, conference rooms, and supply cabinets to support a comfortable and productive workplace.
- Support Communication Flow: Pick up, sort, and deliver mail and packages efficiently to ensure timely communication across teams.
- Digitize and Organize Information: Scan and index incoming mail using advanced systems like ImageRight, Client Master, Nexsure, and Microsoft Office Suite.
- Handle Incoming and Outgoing Shipments: Receive and distribute packages promptly, ensuring important materials reach the right people on time.
- Bring Projects to Life: Assist with large-scale printing and presentation needs, including laminating, binding, and creating custom tabs for professional-quality materials.
- Be a Facilities Champion: Coordinate office moves, manage maintenance requests, track inventory, and keep storage areas organized and well-stocked.
- Build Strong Relationships: Develop a deep understanding of internal and external clients’ needs to provide exceptional service and support.
- Adapt and Contribute: Take on additional responsibilities as needed to support the team and meet evolving business needs.
- Completion of high school diploma required
- Prior experience in an office services and/or support role a plus
- General experience with and knowledge of office technology (computers, printers, database systems)
- Strong verbal and written communication skills with the ability to partner with a variety of internal and external clients
- Skilled in organization and prioritization of workloads in order to meet required deadlines
- Interest in working in a highly collaborative team with a focus on providing exceptional service
- Ability to work in-office five (5) days a week
- Flexibility to work overtime as needed
- Must be able to lift/move boxes and/or equipment weighing up to 30 lbs.
